Selecting The Copper Swan as a wedding venue is a timeless classic for what is often considered one of the most memorable days of one’s life. Whether you are planning an intimate gathering of 20 or a large ceremony for 200+, The Copper Swan offers a spectacular Cape Cod setting, with a multitude of complimentary services and amenities.

The five-acre property provides many event options, both indoors and out, to consider for your special ceremony and celebration. And, the iconic Captain’s House and Carriage House offer accommodations for you and your guests in one location.

As a full service venue, The Copper Swan can provide everything from guest rooms, rehearsal dinners, ceremony, brunch and receptions, completely personalized, from arranging room layout to organizing a ceremony.

Unlike other area venues whose selections limit you to a predetermined wedding package, every event at The Copper Swan is customized to the individual tastes and budget of the bride and groom.

Whatever the size and style of your wedding, we’ll help you create the perfect day, for the right budget. And, with just one wedding held each day, the focus of our attention will be solely on your event.

OUTDOOR VENUES

THE BACK NINE

This is the open area used for overflow parking on the rear of the property. This tranquil space is flanked by trees and wooded areas. It is landscaped and set away from most of the dwelling space. The area can accommodate large tents for a variety of outdoor events in size and composition. Seating for up to 250 guests. Site Fee: $3,500 (tables, chairs, linens and tabletop not included).

THE SAVANNAH DECK

The deck flanking the rear of the Captain’s House is illustrative of what one would imagine in the architecture in the large manses in the Deep South. The deck itself is conducive to small gatherings; but, it also overlooks space at the rear of the property and the proximate Hawes Pond. Many memories have been captured underneath the balcony of this historic deck. Seating accommodation for up to 50; Standing accommodation up to 60 (on the deck);. Site Fee: $1,500  (table,chair & tabletop rental available).

CAPTAIN’S HOUSE STERN

The front of the Captain’s House, facing the salt water marsh, is a beautiful venue for outdoor events. With the architecture of the Captain’s House and the influence of beauty benefited by nature, this space affords many benefits for events which small to moderate in size. Seating accommodation for up to 50 for ceremony, reception, or large group events. Site Fee: $1,500

HAWES POND

Hawes pond, offering the birth of water on property, offers a serene venue tucked in behind the restaurant and banquet facility. The pond expands and contracts with tides and precipitation but typically allows enough expanse for a pond-side ceremony or reception. Seating or standing accommodation for up to 25-100 +/- (larger groups in 2017) for ceremony or reception events. Site Fee: $1,000

INDOOR VENUES

THE SAIL LOFT

A private indoor dining space that overlooks Hawes Pond, the Sail Loft room offers an intimate setting from morning to night. Seating accommodation for up to 80; Standing accommodation for up to 100. Site Fee: $2,500 (includes tables, chairs, & tabletop)

If more than one location is used during your stay we can combine and create a package price.

LIQUOR   

 The Copper Swan is fully licensed by the state of Massachusetts for sale and service of wine, beer and spirits.  Any alcoholic beverage consumed at an event must be purchased through and served by The Copper Swan and may not be removed from the property. Our staff must check the identification of any guest and under no circumstance will they serve underage or intoxicated persons.  We also reserve the right to withhold service at any time in in the sole judgement of the Hotel, staff/ownership such action is warranted.  All wine/beer, cocktails determinations and any special label liquor selections must be made 30 days prior to the event any only liquor available through a licensed Massachusetts distributor is allowed.  Liquor can be priced by consumption or on a per-person hourly basis (rate determined by types and quality of liquor made available. Non-alcoholic beverages are priced on a consumption basis.

NOISE ORDINANCES

Our on-site entertainment license states all music and amplified noise end at 12am. Wellfleet Police will respond to any noise complaint and The Copper Swan will need to adhere to any and all requests to turn music down, off or move inside.

RENTAL ITEMS

For indoor events of 25 guests or fewer, the inn includes use of our banquet tables, chairs, linens, tabletop/dishware, flatware and glassware in the space fee. Larger events require rentals which can be facilitated through our Event Manager or through your own personal wedding planner.

ADMINISTRATION FEE & TAXES

An administration fee equal to 12% of the total food and beverage costs will be added to the invoice at the end of the event.  The Admin Fee does not include gratuity, it covers the cost of the Event Manager, Operations and all administrative costs. Massachusetts 7% meal & liquor apply to all purchased goods and services.

ACCOMMODATIONS

 The Copper Swan is unique in its offering of 22 guest rooms, accommodating up to 62 people, in the two (2) buildings which comprise the boutique hotel. We offer a variety of rooms and suites in the Captain’s and the Carriage House.

ROOM BLOCKS/EVENT MINIMUMS

If we are hosting a significant onsite event for you with a minimum food and beverage allowance of $13,000 (peak season) and $6,000 (off- peak) we can arrange a room block for your guests.  Room blocks are set once your non-refundable deposit is made and allows guests 10% of their room reservation. We do not block rooms for off site events/functions.

Final payment and guaranteed guests count shall be provided no later than 20 days before the event and cannot be lowered after that time. Your final bill will be based on this final count.  If you are booking closer than this timeline indicates, we may work out a new payment schedule with you. Payments and deposits are non-refundable. 

CREDIT CARDS

Credit cards are accepted only for the first deposit as well as for incidental charges of last minute charges i.e. bar, any extra labor, actual guest count exceeding the guaranteed amount, etc. These charges will be paid upon the event commencement using the credit card authorization form we have on file. Personal checks are accepted for all payments except the final balance, which should be a bank or certified check.

ARRIVAL TIMES

In order to ensure complete privacy and readiness for your event, our indoor/outdoor facilities will not be available for early arrivals. The bride, groom and bridal party can arrive up to 90 minutes before your event to take pictures when having your ceremony on site. A decorations and event design schedule can be discussed and agreed upon with Event Manager.

CEREMONY REHEARSAL

Rehearsal time is available depending on the events scheduled and must be coordinated in advance with our Event Manager. If you need coordination for your rehearsal from our Event Manager to guide you through the rehearsal and use of the facility there is a $50/hour charge for their time.

MENU SELECTION

Menu selection is three (3) months before your event.

FOOD SERVICE

No food or beverage can be brought on or off the property. The only exception is the wedding cake. All incoming cakes shall come from licensed bakeries. We do charge a cake-cutting fee of all outside cakes and desserts $2.00 per guest. Outside caters must be licensed, properly insured and approved by The Copper Swan .

CHILDREN

Children must be supervised at all times. Children under ten (10) may receive a special children’s menu at a reduced cost.

SEATING ARRANGEMENTS

A guaranteed guest count and seating plan is due fourteen (20) days prior to your event for all plated and RSVP menu selections.

FORCE MAJEURE

The performance of this agreement is subject to acts of god, governmental authority, disaster, strikes or other emergencies, any of which make it illegal or impossible to provide the facilities and / or services for your event. In the event of any of these scenarios, if possible The Copper Swan will do it’s best to perform the agreement or in extreme cases choose a different date or venue to provide the service. This can include power outages, and results of such power outages can cause a lack of air conditioning or non-optimum occurrences.
